Facility Rules and Policies
Guidelines and rules are needed to prevent harm and keep everyone safe in our facility. In order to provide a safe and enjoyable use, please follow the National Conservation Training Center rules and regulations below.
Information and Communications Technology - The National Conservation Training Center (NCTC) is committed to making its information and communications technologies accessible to all by meeting or exceeding the requirements of Section 508 of the Rehabilitation Act of 1973, as amended. Our goal is to ensure that all information delivered through electronic means at NCTC will be fully accessible in real time. When this is not possible, an alternative will be found or an accommodation will be made.

- Motorized carts are available at the Front Desk for guests unable to get around the NCTC campus. Please inform Hotel Reservations when reserving your room to ensure one is available.

Identification badges are provided for each guest at check-in. To ensure the safety and security of NCTC guests and staff, name badges must be worn at all times while on the NCTC campus. Please return your name badge to the Front Desk or Commons dining room for re-use at check-out.
Guest attire is 'business casual' in NCTC classes and programs. For specialized activities or recreation, please dress appropriately.
Guest visitors can accompany students to guest rooms, dining room, social center, and other activities.
Notify the Front Desk if you have visitors.
They must register with the guest at the Front Desk when sharing overnight accommodations. Visitors have the choice of purchasing either a meal plan (their badge will be marked for easy dining access) or paying ala carte. The cost is equivalent to the Jefferson County, West Virginia, per diem rate. Children (age 2-12) pay 50% of this rate and adults and teenagers pay 75%.
Designated Smoking Areas
Smoking, vaping, and using smokeless tobacco are prohibited in interior spaces of all Service facilities and in motor vehicles, heavy equipment, aircraft, and most watercraft that are service-owned, rented, leased or controlled.
Smoking ordinance prohibits smoking within 25 feet of any Service facility, building air ventilation, or exit walkways. Ash canisters are located at designated smoking areas (DSA) for your convenience.
This form is the updated method to request a meal waiver. Please review the policy prior to submission to ensure you meet the criteria, otherwise your request will be denied.
NCTC Meal Plan. All course and event participants who stay onsite must participate in the meal plan. Guests, regardless of organizational affiliation, who do not wish to comply, must stay offsite at their own expense.
The meal plan begins with dinner on the day of check-in and ends with lunch on the day of checkout. There is no credit for missed meals except as noted below.
Meal Waivers. The amount of food needed for menu items is determined by our contractors based on the number of expected guests. In order to minimize food waste, waivers must be requested at least two weeks in advance of arrival and in writing, to be submitted on the meal waiver form.
Late Arrivals. Guests are responsible for informing the Front Desk if they anticipate arriving after 7:30pm on the date of check-in. Guests arriving after this time can request a packed dinner; this will be available for pick up at the front desk at check-in. Guests may request to cancel this meal by submitting a Meal Waiver form two weeks in advance of their arrival. Guests who do not submit a Meal Waiver form two weeks in advance of their arrival will be charged for dinner upon checkout. In cases of inclement weather or missed travel connections, guests must still request and complete this Meal Waiver form so they will not be charged for the meal.
Early Departures. Guests are responsible for informing the Front Desk if they anticipate departing earlier than lunch on the date of check-out. Guests departing prior to this time can request a packed lunch; this will be available for pick up at commons at 6:30am on the date of departure or guests can request to pick it up the night before, if departure is earlier than 6:30am. Guests may request to cancel this meal by submitting this Meal Waiver form two weeks in advance of their arrival. Guests who do not submit a Meal Waiver form two weeks in advance will be charged for lunch upon checkout.
The NCTC lodges are completely smoke-free. NCTC is committed to providing its guests with a smoke-free room. There is a $250 fee assessed for guests who do not comply with this policy in order to cover the extensive cost of restoring lodge rooms to smoke-free condition. For convenience, there are designated smoking areas at the entrance to each lodge building. Thank you for keeping our lodge rooms smoke-free.
Security Officers
Security Officers are on site and available 24 hours a day and seven days a week for the health and safety of our staff and guests.
First Aid Kits
First aid kits are located in Commons, Physical Training, instructional buildings, and the Front Desk. Additional supplies are sold at the Sundry/Gift Shop in the Commons building.
Automated External Defibrillators (AEDs)
Automated External Defibrillators (AEDs) are strategically located throughout the campus near first aid kits.
